Risk Assessments

Royal Scottish Forestry Society volunteers will carry out risk assessments before in-person events. These risk assessments take into account standard risks that are likely generic to all of our outdoor events such as weather, terrain, walking on site and biosecurity, as well as risks that might be specific to the site in question. Our event hosts will put mitigating actions in place to reduce any identified risks.

We ask that event attendees do their part by coming prepared to any in-person event.

Getting Ready for Your Event

We want you to have a safe, enjoyable and rewarding experience. Please take a few moments to prepare using the guidance below.

When You Book

  • Check it’s right for you – review the event description carefully, including terrain, walking distances and activity levels, to make sure it suits your abilities.
  • Tell us what we need to know – if you have any health conditions, accessibility needs or concerns that could affect your participation, contact the organiser in advance so we can support you at membership@rsfs.org.uk

On the Day

  • Dress for the weather – check the forecast before you set off and bring suitable clothing such as waterproofs, warm layers, sun hats or sunscreen as needed.
  • Pack the essentials – include insect repellent and any personal medication, particularly for allergies or other known conditions.
  • Listen to the introductory briefing - the event host will let you know about any site-specific risks.

Travel Between Sites

To keep everyone safe when travelling:

  • Drivers must follow the Highway Code at all times.
  • All passengers should wear seatbelts.
  • Vehicles must be insured, roadworthy and driven responsibly, including when moving around sites away from public roads.

Walking On Site

Our sites can include uneven ground and working environments. To help minimise risks:

  • Wear suitable footwear and clothing – sturdy shoes with good grip are essential; long trousers and wind or waterproof layers are strongly recommended.
  • Stay fuelled and hydrated – bring enough food, drinks and snacks for the day, and hand sanitiser if you wish.
  • Listen to the briefing – follow all guidance given on the day about site‑specific risks, weather conditions and safe routes.
  • Keep a safe distance – always observe instructions around machinery and equipment.
  • Stay alert – be aware of changing weather, tiredness, and natural hazards such as insects, ticks or adders.
  • Respect wildlife – avoid disturbing animals and keep dogs on leads unless advised otherwise.
  • Use provided safety gear – wear hi‑vis vests or other Personal Protective Equipment (PPE) when supplied.

After the Event

  • Be bio-secure. Clean boots, dogs, tyres and kit before leaving. More info can be found here.
  • Check yourself for ticks once you get home.
  • Share your feedback – your comments help us improve future events.

We appreciate your cooperation and look forward to welcoming you. Enjoy the event!
